The Challenge
Czar Homes, a premium interior design firm, was managing their material inventory, complex project costing, and massive procurement cycles entirely on disjointed spreadsheets. This archaic method led to highly inaccurate project cost estimates, significant material wastage, procurement delays, and projects frequently bleeding over budget—severely eroding profit margins and damaging high-value client relationships.
Our Solution
We implemented a comprehensive Zoho-based ecosystem—specifically Zoho Inventory and Zoho Projects—integrated into a unified management system. This provided real-time material tracking, automated purchase order generation when stock ran low, and dynamic project cost dashboards. Now project managers have pixel-perfect material cost projections before ground is even broken.
The Background
In the high-end interior design space, margins are often won or lost in the procurement phase. Czar Homes was taking on massive residential projects, but their backend operations were holding them back. Project managers were manually calculating wood, marble, and fixture costs. Often, materials were double-ordered or arrived weeks late, causing expensive delays for construction crews.
Implementation & Strategy
We ripped out the spreadsheets and deployed a custom-tailored Zoho One environment. The core of the solution was linking Zoho Projects directly with Zoho Inventory.
We established a strict digital workflow: when a designer maps out a new room, the required materials are instantly checked against the warehouse inventory. If stock is low, the system automatically drafts a Purchase Order for the vendors. We also built customized dashboard views for the executive team, giving them a real-time snapshot of the exact profitability of every ongoing project down to the last nail.
The Transformation
The introduction of an automated, error-free tracking system revolutionized how Czar Homes bids for projects. Because their cost estimations are now 92% accurate, they can confidently offer competitive pricing without fearing margin erosion. Material waste has plummeted, and the firm has scaled its project load by over 40% without needing to hire additional procurement staff.
