The Challenge

Royal Touch Interiors was struggling with critical invoice delays, convoluted manual billing processes, and a complete lack of real-time order tracking. Their billing team spent upwards of 3 solid days every single month just reconciling accounts. Clients frequently complained about billing errors, confusing spreadsheets, and painfully slow invoicing which delayed project handovers.

Our Solution

We successfully implemented Zoho Books, equipping the agency with custom-branded invoice templates, automated payment reminder sequences, and real-time order tracking dashboards. Crucially, we integrated their project management timelines directly into Zoho Books so that invoices are automatically triggered the moment a project milestone is marked complete.

The Background

For an interior decor firm, cash flow is closely tied to project milestones (e.g., 20% upfront, 50% upon material delivery, 30% upon installation). Royal Touch Interiors was tracking these milestones on whiteboards and WhatsApp groups, meaning the finance team never knew exactly when to bill a client. By the time an invoice was manually drafted and sent, days or weeks had passed since the milestone, severely delaying cash inflows.

Implementation & Strategy

We migrated their entire financial backend to Zoho Books. We first standardized their billing structure by creating beautiful, professional invoice templates that clearly broke down material vs. labor costs—eliminating client confusion.

The game-changer was Milestone Automation. We synced their on-site project management tool with Zoho Books. Now, when a site supervisor checks off "Material Delivered" on their iPad, Zoho Books instantly drafts the 50% milestone invoice and emails it to the client along with an integrated payment link. We also built an automated follow-up sequence that politely reminds clients of upcoming and overdue invoices.

The Transformation

The friction between the operations team and the finance team vanished overnight. By automating the invoicing triggers, payment collection improved by nearly half.
