The Challenge

Tap Health was acquiring hundreds of app downloads and inquiries daily, but they were losing a massive percentage of these inbound leads because their follow-up process was entirely manual. Potential users who downloaded the app or filled out inquiry forms were not being contacted fast enough. Warm leads were rapidly going cold due to a lack of immediate nurturing, and the sales team was overwhelmed trying to manually text and call every prospect.

Our Solution

We architected an instant lead response system by deeply integrating Zoho CRM with Gallabox WhatsApp automation. The moment a lead is captured via the app or website, it is instantly routed into Zoho CRM. Within exactly 2 minutes, the prospect receives a highly personalized, context-aware WhatsApp message, kicking off an automated nurturing sequence that gently moves them through the funnel until they are ready to engage with a human agent.

The Background

In the highly competitive HealthTech space, speed to lead is everything. When a user downloads a health app or inquires about a service, their intent is at its absolute peak in that exact moment. Tap Health had a brilliant product, but their manual SDR (Sales Development Representative) process meant users were often waiting 4 to 8 hours for a follow-up. By that time, the user's intent had evaporated, resulting in dismal conversion rates despite high marketing spend.

Implementation & Strategy

We recognized that millennials and Gen Z users prefer asynchronous chat over phone calls. We deployed Gallabox to handle WhatsApp automation and synced it bidirectionally with Zoho CRM.

We designed a multi-step WhatsApp drip campaign. If a user inquires about a specific health plan, they immediately receive a WhatsApp message with a dynamic brochure related to that plan. If they don't reply within 24 hours, the system automatically sends a polite follow-up. Only when the user replies affirmatively does the system alert a human sales rep to take over the chat—ensuring reps only spend time talking to highly qualified, warm leads.

The Transformation

The impact of a 2-minute response time was instantaneous. Users felt heard and valued immediately after showing interest. The automated nurturing sequences recovered thousands of leads that would have previously slipped through the cracks. As a result, Tap Health doubled their conversion rates without hiring a single new sales representative, proving that smart automation scales faster than human capital.
